How to Define a Business Problem That AI Should Solve (Not Just Could)

In the rush to implement AI, it’s easy to get dazzled by what’s technically possible. But just because AI can do something doesn’t mean it’s the right tool for the job. As project managers, our role is to ensure AI is applied where it delivers real, measurable value — not just where it’s trendy.
Here are steps to help you define a business problem that AI should solve:
✨ Pinpoint the true need Look for high-impact pain points or opportunities where traditional automation falls short — messy, unstructured, or hard-to-predict scenarios are often where AI shines.
✨ Assess feasibility early Not all problems are solvable with the data and resources you actually have. Run feasibility checks: do you have enough quality data? Do you have stakeholder buy-in? Are the risks manageable?
✨ Define success clearly Before you start building, articulate what success looks like in business terms — cost savings, increased revenue, reduced time, better customer experience — and set metrics to measure it.
✨ Match the AI pattern Align the business need with the right AI pattern (e.g., predictive analytics, recognition, hyperpersonalization). This ensures you’re solving the right problem with the right approach.
Remember: AI should solve business problems that matter — ones that move the needle — not just what’s possible or flashy.
